Tech Tips to Improve Your Communication

On this 270th episode of my Monday Morning Pep Talk, I will take you behind the curtain and explain to you how I use technology to improve communication with my those I lead, manage, coach and mentor. There have been recent technological breakthroughs that have made my communication more efficient, timely and complete. Today, I'll give you my Top 5 tips.

The Rise of “Send Later”: Why Scheduled Messaging Is Changing Sales and Social Media
 
 
In a world where timing is everything, the ability to schedule messages - whether in sales, customer engagement, or social media - is becoming a game-changer. “Send Later” functionality, rolling out across iMessage, email platforms, and social media apps, isn’t just about convenience; it’s about strategic precision.
 
For real estate advisors, this feature eliminates the bottleneck of real-time availability. Instead of scrambling to remember follow-ups or catching clients at the wrong moment, they can schedule perfectly timed outreach when engagement is most likely. A well-placed message sent at the start of a client’s workday - or right after a key meeting - keeps conversations flowing without the real estate advisors needing to be online 24/7.
 
Social media platforms are also embracing scheduled messaging, allowing influencers, brands, and entrepreneurs to optimize their engagement. Instead of posting in the heat of the moment, users can curate and release content when their audience is most active, driving higher visibility and interaction.
 
The broader implication? “Send Later” shifts the real estate industry from reactive to proactive. It ensures that no opportunity is missed due to timing mishaps and allows real estate professionals to maintain a consistent presence without being tethered to their devices.
 
In a digital world where immediacy used to reign supreme, the ability to delay – strategically - is now the key to better conversions, stronger relationships, and more effective communication.
 
Tip #1
 
In iOS 18.1, Apple introduced the “Send Later” feature in the Messages app, allowing you to schedule iMessages to be sent at a future time. This is extremely helpful when you need to compose text messages outside of normal working hours but want to maintain your operational boundaries.
 
 
Here's how to use it:
 
  • Open Messages: Launch the Messages app on your iPhone.
  • Compose a New Message: Tap the compose button to start a new conversation or select an existing one.
  • Access "Send Later": Tap the '+' icon next to the text input field, then select "Send Later."
  • Set the Send Time: Choose the desired date and time for your message to be sent. You can schedule messages up to 14 days in advance.
  • Compose Your Message: Type your message as usual.
  • Schedule the Message: Tap the send button. The message will appear in the conversation with a dashed outline, indicating it's scheduled.
 
 
Editing or Deleting a Scheduled Message:
 
  • Edit Send Time: In the conversation, tap "Edit" next to the scheduled time above your message. Choose a new time or select "Send Now" to dispatch immediately.
  • Edit Message Content: Touch and hold the scheduled message bubble, then tap "Edit." Make your changes and tap the send button again.
  • Delete Scheduled Message: Touch and hold the message, then tap "Delete" to cancel it.
 
 
Tip #2
 
 
The Send Later feature in the iPhone Mail app lets you schedule emails to be sent at a specific time. This is useful for sending messages at optimal times without having to remember to do it manually.
 
  • Compose an Email – Open the Mail app and write your message.
  • Press & Hold the Send Button (blue arrow) – A menu will appear.
  • Select "Send Later" – Choose a suggested time or tap "Pick Date & Time" to customize.
  • Confirm – Once scheduled, the email will be stored in the "Send Later" mailbox until it’s sent.
 
Tip #3
 
Similar to the Send Later feature on your iPhone text message app, you can use the Instagram Send Later functionality to send DMs at specific times.
 
How to Schedule a Message on Instagram
 
  • Open the Instagram app and tap the message icon (top right corner).
  • Open an existing conversation or start a new conversation.
  • Type your message.
  • Hold down the send button to open the scheduling menu.
  • Use the sliders to choose the date and time.
  • Tap "Send at Scheduled Time" to confirm.
  • You’ll see “1 scheduled message” at the bottom. Tap it to view scheduled messages.
  • Manage scheduled messages by holding down the message bubble to:
    • Send now,
    • Copy text, or
    • Delete the scheduled message
  • The message will be sent automatically at the scheduled time.
 
 
Tip #4
 
 
Using a notes app, like the notes app on your device, Evernote or Notion, to store templated text messages and emails is a simple yet powerful productivity hack for real estate advisors and entrepreneurs. It saves time by allowing you to quickly copy and paste well-crafted, on-brand messages instead of drafting them from scratch. Templates ensure consistency, professionalism, and personalization at scale while reducing the mental load of repetitive communication. With cross-device syncing, you can access your templates anywhere, making it easy to respond efficiently via text, email, or social media. When combined with “Send Later” functionality, you can schedule follow-ups and client check-ins at optimal times without being online. It also helps teams stay aligned with uniform messaging and allows for easy collaboration. Organizing templates into categories - like follow-ups, cold outreach, and closing emails - further streamlines communication, keeping you focused on high-value tasks like closing deals and building relationships.

If you’re not using an AI assistant like ChatGPT, you’re quickly falling behind your peers in efficiency. As someone who writes and communicates constantly, I rely on ChatGPT daily as my personal editor, helping me refine and streamline my messaging in seconds. I treat it like a human assistant - giving clear, specific instructions on format and tone - and it consistently delivers results that are 85-90% of the way there, allowing me to personalize and finalize with ease. Don’t be intimidated - just start using it. I went from once a month to once a week, and now it’s an essential part of my daily workflow. Jump in and see the difference.
